58 - CORRESPONDENCE

When correspondence reaches a caseworker that needs an action, they must record receipt in the correspondence section of ASYS (if not already recorded) and minute ASYS with the actions taken. The caseworker must cross through the correspondence, marking it as "ACTIONED", and sign and date it accordingly when completed.

If correspondence is received directly by a caseworker which requires action by another section, in addition to their own, then the action point completed should be crossed and marked as actioned before being forwarded. Any action points completed before sending the photocopies should be crossed out and lightly marked "ACTIONED".

Where actions can be carried out in sequence, with priority being given to changing the address, then there is no need to use photocopies, the correspondence can be forwarded, as per previous paragraph, along the sequence with caseworkers crossing their team's name out when they have completed the action and minuted ASY
