49 - Change of addresses – New procedures for dealing with changes of address notifications

Purpose & Scope

This instruction sets out the procedure to be followed when a notification of change of address is received from a supplier or a request for change of circumstance involving a change of address is received.

To ensure the integrity of the accommodation database it has been agreed that all changes of address will be undertaken in the Operations Loading and Reconciliation Team on the 3rd Floor of Quest House. This bulletin will mainly affect those caseworkers handling change of circumstance cases in the Post Allocation Group in Quest and "subs only" change of circumstances team in Voyager.

Change of circumstances – new procedures for caseworkers

From Monday 19 February 2001 all change of circumstance cases that involve a change of address should have their details e-mailed down to the Loading and Reconciliation Team on the 3rd Floor, Quest House prior to any other action being taken. The Loading and Reconciliation Team will change the accommodation address on ASYS and notify the caseworker that further action can then continue.

All requests for change of address in change of circumstance cases should be e-mailed to the Loading and Reconciliation Team at the following e-mail address:

NASS Accommodation

including the following information in each case:

Service Users NASS reference

Present address

Move on address

Date of move

Reason for move of accommodation

Change of circumstances "backlog" cases already received/in hold -

For change of circumstance cases involving a change of address that have already been received the same process should be followed i.e. the details e-mailed to the Loading and Reconciliation Team on the 3rd Floor prior to any other action being taken. As with new cases, after the address has been amended on the ASYS record, the Loading and Reconciliation team will e-mail the caseworking officer notifying them that they can now complete action. The paper file should be kept in the hold/on the officers desk as normal pending receipt of confirmation.

Change of address notification from providers

All providers have now been notified that changes of address will be forwarded to the Loading and Reconciliation Team. This team will then change the accommodation address on ASYS and then forward the e-mail to the change of circumstance team.
