32 - Cancelling Accommodation on ASYS where an asylum seeker has failed to travel – instructions for caseworkers

Where an address was booked for an asylum seeker but that asylum seeker never travelled/never arrived the booking needs to be cancelled and be "de-booked" from ASYS to free it for further allocations.

The process to do this should be as follows:

Make sure the "Arrived" button is unticked. (If it is ticked, then untick it; otherwise leave it).

Change the Accommodation Status to "In Termination".

Select the reason "Accommodation Cancelled", or "support no longer needed".

Enter a termination date. This must be today’s date. It cannot be in the past.

ASYS will then immediately

release the bed-spaces for re-allocation

display "Applicant never moved in to this accommodation" on the screen. (NOTE: the moved in/out check box will not be displayed.)

At this stage ASYS has no correspondence address for the asylum seeker. If correspondence with the asylum seeker is still required a third step is required, either

c2) Provide a new correspondence address by entering it on the 2. Address/Comments tab on the person screen, or

c3) Re-enter the emergency accommodation address by entering it on the 2. Address/Comments tab on the person screen.

The above process will need to be carried out

for each case where failure to travel ended with permanent failure to arrive at the NASS address

for each case where for any other reason the asylum seeker failed to arrive at the NASS address and the address is now to be made available for other applicants.

Before any action is taken on ASYS the provider must have confirmed the Accommodation cancellation in writing. Information on ASYS must match reality!

Should it be necessary to Allocate a new address to the asylum seeker, the status of the Accommodation Tab 6 should be put into "Allocation Review" and an alternative accommodation should be sought from your accommodation bureau.
